Privacy policy

Last updated: October 2026

This policy explains what personal data we collect, why we collect it, how we protect it and the choices you have. We process personal data in line with Ghana's Data Protection Act, 2012 (Act 843) and other applicable laws.

1. Who we are

Profilefetch is the data controller for personal data collected through this website. You can reach us through the Contact page for any privacy question or request.

2. Data we collect

We collect only what we need to run the store:

  • Account data: name, email address and password (stored only as a secure hash by our authentication provider).
  • Order data: products purchased, quantities, required order details you provide, prices, order references and status history.
  • Payment data: payment status, amount, currency and provider references. We do not store full card numbers or mobile money PINs.
  • Support data: messages and attachments you send to our support team.
  • Technical data: IP address, device and browser type, and basic logs used for security and fraud prevention.

3. How we use your data

We use personal data to:

  • Create and manage your account and authenticate you.
  • Process, fulfil and track your orders, including passing necessary order details to our supplier.
  • Verify payments and prevent fraud, abuse and duplicate orders.
  • Respond to support requests and handle refunds.
  • Send essential service emails such as order updates and password resets.
  • Comply with legal, tax and accounting obligations.

4. Legal bases

We process data to perform our contract with you, to meet legal obligations, for our legitimate interests in running a secure store, and with your consent where required (for example, optional marketing). You may withdraw consent at any time.

5. Who we share data with

We never sell your personal data. We share it only with:

  • Product suppliers, limited to the details needed to fulfil your order.
  • Payment providers, to process and verify payments.
  • Hosting, database, authentication and email service providers acting on our instructions.
  • Authorities or advisers where required by law or to protect our rights and customers.

6. Delivery information

Credentials or codes delivered for your orders are stored encrypted and are shown only to you when you are signed in to your account. Our staff access them only when needed to resolve a support request.

7. International transfers

Our service providers may process data outside Ghana. Where this happens, we rely on providers with appropriate safeguards to protect your data.

8. How long we keep data

We keep account data while your account is active. Order, payment and audit records are kept for as long as required for accounting, tax and dispute purposes, typically up to six years. Support messages are kept for as long as needed to resolve the matter and for reasonable follow-up.

9. Security

We use encryption in transit, encrypted storage for delivery data, strict access controls so customers can only see their own records, and audit logging of administrative actions. No system is perfectly secure; please use a strong unique password and keep it private.

10. Your rights

Subject to applicable law, you can:

  • Access the personal data we hold about you.
  • Correct inaccurate data (you can update your name in your account at any time).
  • Request deletion, where we are not legally required to keep it.
  • Object to or restrict certain processing.
  • Withdraw consent for optional processing.
  • Complain to the Data Protection Commission of Ghana or your local authority.

11. Cookies and local storage

We use essential cookies and browser storage to keep you signed in and remember your cart. We do not use advertising cookies. You can clear them in your browser settings, but some features may stop working.

12. Children

The store is not intended for anyone under 18 and we do not knowingly collect their data. If you believe a child has given us data, contact us and we will delete it.

13. Changes to this policy

We may update this policy. The date at the top shows the latest version. Significant changes will be highlighted on this page.

14. Contact

To exercise your rights or ask a question, use the Contact page or open a support request from your account. We aim to respond within 30 days.
